Abstract

Many activities are managed by means of electronic mail and the number of mails sent and received has exponentialy increased these last years, Most activities are performed in parallel. The problem is that mail systems do not propose any efficient tracking tool capable to give a clear status and history of what has been done for instance on a specific project or activity.

Many activities are managed by means of electronic mail and the number of mails sent and received has exponentially increased these last years, Most activities are performed in parallel. The problem is that mail systems do not propose any efficient tracking tool capable to give a clear status and history of what has been done for instance on a specific project or activity. For this reason, it is important to have a tool capable of efficiently and automatically tracking activities or projects and for instance for automatically managing the time spent by employees on projects. Furthermore, it is important to find the best way to organize the work of employees. Today, the tracking of tasks on mail systems is done manually. Mails are manually filed in folders and sub-folders and no consolidation of tasks is performed. The filing of mails in appropriate folders is done manually or automatically according to specific rules. Then, folders can be consulted to know the mail history related to a specific project or activity. But if we want to go further in the analysis of activities, it must be answered to the following questions :
1) when a mail is received, how to identify the activity associated with this mail,
2) how to update the status of an activity regarding the mails that are received.

Figure 1 is a general view of the present system and method.
