Abstract

A retention management program purges documents contained in a data base at the document expiration date based on each user's need to have access to the documents. Each user assigns a disposal code to each document which determines the document's retention period or its expiration date. The code can be changed as long as the user has access to the document. A default disposal code is assigned to each document which is based on a standard retention period for a particular type of document. For example, the default code for a letter may be two years.

Retention Management Program

A retention management program purges documents contained in a data base at the document expiration date based on each user's need to have access to the documents. Each user assigns a disposal code to each document which determines the document's retention period or its expiration date. The code can be changed as long as the user has access to the document. A default disposal code is assigned to each document which is based on a standard retention period for a particular type of document. For example, the default code for a letter may be two years.

Each document may have multiple disposal codes assigned, which can result in multiple expiration dates. In such cases, the last of such dates determines when the document is actually purged from the data base. The last expiration date is calculated by the program so that an individual cannot directly as an expiration date.

Access by an individual user to each document is restricted by the security arrangements of the data base program and is based on the user's need to have access to the document.
