Abstract

This article describes a mechanism for IBM's Document Interchange Architecture (DIA) Services whereby an enterprise can attach to a document a comment which describes an event which permits a document to be purged from storage. After defining such an event an enterprise may wish to associate a comment to describe the event in detail. An enterprise may wish to describe why such an event was associated with the retention of the document. A mechanism is needed which permits enterprises to interchange this information. No mechanism currently exists in the DIA Services which identifies a comment on why a document can be purged from storage.

       This article describes a mechanism for IBM's Document
Interchange Architecture (DIA) Services whereby an enterprise can
attach to a document a comment which describes an event which permits
a document to be purged from storage. After defining such an event an
enterprise may wish to associate a comment to describe the event in
detail. An enterprise may wish to describe why such an event was
associated with the retention of the document. A mechanism is needed
which permits enterprises to interchange this information. No
mechanism currently exists in the DIA Services which identifies a
comment on why a document can be purged from storage.

      The Interchange Document Profile (IDP) is currently used by DIA
Services to describe the characteristics of a document as a whole.
Enterprises can interchange detailed information as to the reasons
why a document can be purged by providing a self-defining field
within the IDP which defines a descriptive text on the event which
permits the document to be purged.

      This mechanism permits enterprises to convey detailed
information on the retention characteristics of a document. This
information can be used to describe other events which lead to the
event which signified that the document could be discarded. This
information could aid an enterprise in conveying historical
information on the retention characteristics of a document.
