Abstract

All the mailing systems allow you to set the Out Of Office. The Out Of Office is an agent running on the workstation ( or on the server ) that once activated by the owner of the mail-box, inform the sender that the person is not available, is in vacation ? and return a predefined date. The objective of that is to inform the sender that his e-mail would not be processed immediately but by a specific date. Unfortunately this does not work very well. In fact, if the owner of the mail-box is in vacation for weeks and receive hundreds of note in the meantime ?. , it is very unlikely that the note will be analyzed as soon as the owner is back by vacations

The Problem

All the mailing systems allow you to set the Out Of Office. The Out Of Office is an agent running on the workstation ( or on the server ) that once activated by the owner of the mail-box, inform the sender that the person is not available, is in vacation ... and return a predefined date. The objective of that is to inform the sender that his e-mail would not be processed immediately but by a specific date. Unfortunately this does not work very well. In fact, if the owner of the mail-box is in vacation for weeks and receive hundreds of note in the meantime .... , it is very unlikely that the note will be analyzed as soon as the owner is back by vacations

The Solution

The solution is that the OOO Agent should have a look in an initialization file before to answer. The table should receive notes regarding the status of the mail-box by the mail-agent while receive data on the quality of the notes by the owner of the mail-box.

Values to be updated automatically by the mail-agent
i.e.

Number of untouched notes = x

Values to be customized by the owner of the mail-box
i.e.

Number of second to spend to analyze a single note = y

The OOO agent will answer to the sender that his note will be analyzed x*y seconds after the receiver will be back from vacations.

Clearly this is just an example since we could have different parameters in the ini file and associations between factors
