Mechanism for using an Entry Template to declare a document as a record within a document management system using WebDAV

Disclosed is a method to add a new content Document to an IBM FileNet P8 Content Manager (FileNet P8) system using a WebDav Client and have that Document automatically and immediately declared as a Record in a Records Management System using a Folder Entry Template Association.

The WebDAV protocol consists of a standard set of methods that a client can use to make requests to the server. Simple authoring requests can be made to Add, Move, Delete, Retrieve, Rename, Copy/Paste document content on a WebDAV-enabled server. There are no methods provided within the WebDAV protocol to perform any operations that are more complex or possibly proprietary to the server-side product.

Records Management is the practice of identifying, classifying, archiving, preserving, and destroying records. A Records Management product is often implemented by corporations for the express purpose of capturing and maintaining evidence of and information about business activities and transactions in the form of records.

Entry Templates are implemented within FileNet P8 to simplify the object adding process. An Entry Template limits the users as to which data they should provide for object properties (meta data) or providing default values for these object properties, security settings and/or location. Entry Templates also include a means to automatically launch other system processes that manipulate the Document such as launching a Business Process Workflow or Declaring a Record.

The FileNet P8 product offers a servlet that can accept and process requests from WebDav clients and FileNet P8 integrates with a Records Management product. However, prior to implementation of this feature the FileNet P8 system could not offer an Entry Template to the WebDav client for use during a Document add. If the new Document was to be Declared as a Record, the WebDAV user would require access to another application (i.e. Workplace) to perform the Declare Record step.

The new design implements a...
