Method and System for Automatically Executing Required Steps and Applications for Launching Meetings

Disclosed is a method and system for automatically executing required steps and applications for launching a meeting from a calendar invite.

Consider a scenario wherein for initiating a web conference, a host is required to launch a web conference application and dial a number for getting connected to the web conference. Further, the host is required to provide credentials to get logged in so as to start the web conference. Subsequently, the host selects applications to be shared among other participants. Therefore, the host is required to manually perform a number of steps and may have to launch a number of applications in order to initiate a meeting.

In accordance with the method disclosed herein, a set of rules is defined for associating steps and applications that are required to be executed for each meeting. Rules may be manually or automatically removed, added, deleted, updated or expired. Accordingly, based on the rules, appropriate steps and applications are automatically executed to initiate a meeting.

The system includes a rule engine that determines appropriate rules applicable for a meeting which is scheduled by a user. The rule engine retrieves meeting information associated with the meeting from a calendar entry. Accordingly, the rule engine determines rules applicable to the meeting.

Subsequently, the rules applicable for the meeting are executed at a predetermined time interval before the meeting starts. As part of executing the rules, the steps and applications associated with each applicable rule are automatically executed.

For illustration purpose consider the following rules:
