Abstract

Resource Reservation service is required in many circumstances,but the return of resource is obvious an issue in these circumstances. In some cases,even if the reserved resource is not in used,due to nobody release the resource,the resource will be still in occupied status and unavailable for other's booking. This disclosure introduces a new way to implement reservation service,The proposed method and apparatus support interactive reservation and cancellation of resource, such as meeting room.By leveraging the three components: the reservation equipment (VOIP + VOIP adapter), the confirmation equipment (VOIP) and backend system with resource database,the proposed system provide a intelligent mechanism to effective reserve and return resources.

Resource Reservation service is required in many circumstances. A key function of Resource Reservation service is to provide convenient and effective method to search, book, return resources. For example, in CRL, meeting room is the managed resource. The process for booking or returning room is complicated and inconvenient for management, that the users should describe their requirements to meeting room administrator (when, where, sits, equipment etc.). And the administrator could only manually check/book resource or cancel reservation in current system. In addition, a more frustrated problem is when the user does not use the reserved meeting room and forgets to inform administrator to cancel the reservation, the resource will be still in occupied status and unavailable for others' booking, which is the most complain item in CRL's annual survey. In the other hand, the users need a more flexible system which can help to find available room nearby for those unexpected discussion.

Currently, the meeting room reservation system based on Lotus Notes has many drawbacks, and the main ones are as below:
1. It can not support easily resource return issue so that the resource can not be used as much as possible;

2. It involves too much people resource, such as meeting room admins;
3. It is not efficient to find and reserve the resource. (1.5m to search + 0.5m to book for the next day's meeting, 20 meeting rooms in CRL)

This disclosure introduces a new way to implement reservation service, which is less expensive and more efficient by leveraging VoIP technology. In contrast to the traditional solutions which require a lot of people involved in, the proposed system is more laborsaving and automatic.

The prerequisite of the proposed system is that each meeting room is configured with one VoIP phone.

The proposed method and apparatus support interactive reservation and cancellation of resource, such as meeting room. Following gives the whole process:

Step 1: When the user wants to reserve a room for a coming meeting, he/she can click the "reserve room" button on the VOIP at hand. The user can input his/her requirements for meeting room or just use the default requirements. Then the system locates the user thru VOIP.

Step 2: The proposed system searches the nearest three meeting rooms around the user according to the requirement, and then displays the results on VOIP.
