     Collaboration products, like Lotus Notes from IBM, Outlook product from Microsoft, etc, besides providing an e-mailing infrastructure, also provide supporting tools for calendar based event, like meeting invitations.

     Using such collaboration tools, it is quite easy to setup a meeting invitation specifying the participants and the agenda of the meeting.

     However, collaboration tools do not provide handy solution when unexpected events impact the current schedule either in term of delay for specific duties or the capability to not attend a meeting at all. If for example a person in the morning is sick at home, he need to check all the calendar to manage each scheduled meeting to decline the ones requiring the specific presence in a meeting room, to keep schedule for mandatory calls or to try to arrange new times for some others.

     This process is complicated and often fails to manage all of the duties in the right way according to user preference or ad hoc choices. It is an object of the current article to propose a method and an implementing system to provide an autonomic management of calendar invitation.

     The proposed solution provides a new functionality for a generic collaboration system, e.g. a mail / calendar system like IBM Lotus Notes, or Microsoft Outlook, or other ones.

     The proposed solution to implement a smarter system, based on additional information that can be defined on specific events to be consumed by a sort of meeting handler to react to specific situation. For example, the importance of the meeting, the location of the meeting, the participants of the meeting can be used by the Meeting Handler based on the selected event (sickness, personal urgency, vacation) to manage the meetings in the right way.

     Accordingly, if a meeting invitation is scheduled at a specific office, it can be declined when the required participant is sick at home or be managed by phone if the meeting subject only relate to a discussion between participants. Alternatively an urgent meeting can be managed delegating a backup person and/or trying to reschedule meeting before or after delegation.
