Abstract

In our daily work, there are always lots of emails need to be processed. Some of them can be replied directly and easily; while, some of them have dependencies on other information, which have to be obtained before replying the email. In this case, people always add it into to-do list, and send out subsequent emails to ask for the required information, and then wait and follow up until all information available. When the amount of those pending email in to-do list becomes a big number, people will be busy with switching among all those emails, and get lost in each of them, so the processing efficiency will be declined significantly. To solve the problem mentioned above, an automatically email follow-up method to facilitate to-do management is proposed. With this method, the subsequent email will be recorded and tracked automatically.

In our daily work, there are always lots of emails need to be processed. Some of them can be replied directly and easily; while, some of them have dependencies on other information, which have to be obtained before replying the email. In this case, people always add it into to-do list, and send out subsequent emails to ask for the required information, and then wait and follow up until all information available.

When the amount of those pending email in to-do list becomes a big number, people will be busy with switching among all those emails, and get lost in each of them, e.g. forget where they are and what should do next. The processing efficiency will be declined significantly, because the time and effort is wasted on recalling the thread and following up with the subsequent emails by refreshing the inbox over and over.

To solve the problem mentioned above, we propose an automatically email follow-up method to facilitate to-do management. With this method, the subsequent email will be recorded and tracked automatically. Therefore, people can easily catch up current status and the next action for each pending email, e.g. we had got response from Ann, Peter, and now wait for John's. Moreover, the status will be updated automatically, e.g. when the response from John is detected, so no need to refresh the inbox again and again any more.

Below diagrams show how it works. Firstly, in an opened window of one pending email, we can select "Send Follow-up Email".
