Abstract

A Method and System is proposed to Fast understand a discussion topic of a community in email environment. Three mail group patterns are identified: Attitude mail group ,Comments mail group, and Co-work mail group. components and methods are designed to summarize the key information of message group of these patterns.This invention can be applied into many existing email systems and enable it with new capability of fast analysis of the attitude/key content of each member and effective management of group mails in a structured way.

Disadvantages of current plain mode :

- Multiple team members are involved in the group, and their messages are updated fast. Different replies by group members are separate among a number of emails in the mail inbox,

which leads to the difficulties in searching and obtaining an up

-to-date global view.

- The emails with high significance and importance are hard to detect and be given quick feedback because they are possibly submerged in normal replies from community.

     To sender
- If the sender wants to get help or suggestions from community, it is not convenient for him to collect information from dispersed, numerous emails. Other views
- Inconvenience for pigeonhole and knowledge management, etc..

      Problem:
- How to facilitate users when they want to get fast understanding of a discussion topic through email within a community, e.g. the latest progress, conclusion, how many responses, viewpoints? How to easily manage these ocean information, e.g. view, achieve, delete, etc.
- More specially, how to summarize the key information of message group?
- This problem is especially critical in recent busy world where each person has so limited time to grasp information or knowledge while is in front of ocean data, multi-thread workload.

Our idea:

Reading group mails in a batch way
Analyze the attitude/key content of each member, i.e. agree/disagree, updated or not, numbers, etc according to different pattern context Structure analyzed mails in defined formats (graph)

Manage (Display/edit/move/deleteā€¦) group mails in the structured way

We identified three patterns of mail groups:
-1. Attitude mail group: this kind of group mails is to mainly on statistics on each member's attitude on one certain subject. One instance is like this, A team is planning to look in some colleague's new born baby, the group discussion is going to find out who will go together, and how about the total number)
-2 Comments mail group: this kind of group mails is talking about each member's ideas on certain subject. One instance is like this, one is seeking for help/tips from a virtual group on how to cure an illness.

work mail group: this kind of group mails is to collaboratively work on a document between team members. One instance in real life is like this, draft
