Abstract

In our daily work and life, there are many cases we need to send similar emails to similar people with updated content, such as weekly report. Most people may input the contacts, subject and conetent of the mail manually each time from scratch or use copying and pasting method. Currently, some mail servers support template to customize various aspects of the mail, but it requires extra effort to define them and it is inconvenient to create and manage too many templates. Meanwhile, all the templates are for dedicated purpose, and they don't share any common information between each other. The key point of our resolution is to use auto-complete method for email subjects, contacts and even content based on mail history, and cross-reference these fields if possible. Meanwhile, add system variable support for email subject and content, such as current timestamp. 1) Independent auto-complete for mail subject and contacts: When user is trying to input the mail subject or contact information initially, given some input characters, the mail server will filter the mail history with this information and list possible subjects and contacts for user's reference. 2) Cross-reference auto-complete for mail subject and contacts: When the mail subject is filled firstly, then the most possible contacts will be provided for reference due to the mail history with the same or similar subject. Inversely, when the contacts are filled firstly, then the most possible subjects will be listed for reference due to the mail history with the same or similar contacts. 3) Mail content auto-complete with given subject and contacts: When both the mail subject and contacts are filled firstly, then the most possible mail content will be listed as a link for user to preview and refer to due to the mail history with the same or similar subject and contacts. Meanwhile, for content that varies from different mail will be highlighted for user to note and update, such as time, numbers and so on. 4) System variables support in mail subject and content: Such as current date, timestamp, and even user defined variables. With above method, user does not need to make any extra effort, but be able to use the overall mail history information automatically to simplify and speed up current mail process in daily work.
