A method is disclosed for transmitting a smaller sized version of a file to a meeting participant. The transmission of the smaller sized version ensures that the meeting participant is able to read a gist of the file before a meeting starts. Disclosed is a method for transmitting a smaller sized version of a file to a meeting participant. The transmission of the smaller sized version ensures that the meeting participant is able to read a gist of the file before a meeting starts . The amount of content that is included in the smaller sized version of the file is based on requirements of a user and amount of time left before the meeting starts .

In accordance with the method, a user associates a file to be sent for an upcoming meeting and a request to send the file to another computer is sent . The method includes sending one or more test packets to a receiving computer to determine network connection speed as illustrated in Fig. 1.

Alternately, a ping test may be used to determine network latency. If a receiver is offline, determination of network speed may be performed based on configuration settings of the receiver and historical network speeds experienced the receiver . The determination of the network connection speed assists in determining the speed at

which a file needs to be transmitted.

Thereafter, an amount of time before the meeting starts is determined . Additionally, it is determined if the file will arrive on time before the meeting starts . This is determined based on file size, agenda of the file, start and end time required to present the file and network speed.
