To contact with worldwide peers, we rely on emails much more than on other communication methods. We usually send and receive at least two-digits of emails on a daily basis. The number of accumulated mails become very huge when we come back from a vacation.

The existing email system only provides the function to allow the sender designate the importance level of an email, which may not be that important to the recipient.

For emails with the same importance level, recipients can only sort them by some static attributes of emails, including subject, received date, size or sender, then manually read through them one by one. It's not only very time consuming, but also opt to neglecting some critical messages, or delaying in the response to important messages.

This patent describes a method to designate the level of importance and urgency for emails based on time management, not just by the senders. Imagine that you have a capable assistant: she / he is responsible for going through all your unread emails during your vacation, and prioritizing these emails in a more reasonable way in term of urgency and importance, so that you can be more efficient and effective to read through all these unread messages within a limited time after you come back to the office.

One simple and effective task management skill that she / he can use is Eisenhower Method, one of most commonly used time management methods. All emails are evaluated based on the criteria of important / unimportant and urgent / not urgent and are sorted by quadrants: urgent and important, urgent and not important, not urgent and important, not urgent and not important. Based on this new recommended priority, you would response those important and urgent emails at the first place.

The core idea / method of this invention is, group emails in your inbox with similar subjects, automatically analyze these email threads based on both static and dynamic attributes, evaluate them using predefined criteria of important / unimportant and urgent / not urgent, then categorize these email threads into one of quadrants to help recipients deal with numerous emails in a more efficient and effective way.
