Abstract

Disclosed is a method to have one single "dial-in" entry point and the entry point directly route users' phone line to the correct meeting phone number / conference. The idea is under the assumption that the business uses IP phone and that it has a software for handling meeting notices (ie. Lotus notes). Assuming using Lotus Notes, one may have to change the meeting calendar invite by customizing it to add a new field storing "Meeting place". This could be a list of pre-defined meeting place or self-keyed in telephone number along with meeting conference ID.

Method to Automatically Join a Meeting Conference Without Dialing Information

Most companies today are across different geographic locations. To save cross-site conference meeting phone costs, most countries uses IP Phones and uses Global meeting place service where there is a central meeting place and there is a local phone line for different countries to dial in. IBM for example, uses the IP Phone as described above.

Sometimes, due to time zone differences, one have to hold meetings early in the morning. Regardless to where one is having this meeting, either in office or at home, one had to check the notes calendar's mail for the dial-in information. This includes, the phone number to call, the meeting conference ID, and sometimes the meeting host's password. It takes a lot of time just to key-in these numbers, and imagine if it is early morning, one is already late for the meeting, and Thinkpad is currently shutdown and takes about 15 minutes just to startup. What if the meeting phone number is one that is rarely used in Mexico? Is there an alternative cheaper "internal" phone line to call? or do users have to dial international call?

Current solution to save time and join the meeting instantly is to: 1. Have a super genius brain to remember all of the dial-in details and the one that users meeting uses - currently, only a few people on earth could do this (and Watson as well).

    2. Leave the PC turned on so that users do not have to wait for it to startup - waste energy.

    3. Uses sleep-mode to shut down the computer - need to reserve a hard-disk space to stored the information, but still not guarantee that users have the "cheapest" calling detail.

It would be nice if one can have one single "dial-in" entry point and the entry point directly route users' phone line to the correct meeting phone number / conference.

Assuming the user is calling from internal IBM location, any user with the meeting event added to one's calendar may simply pick up the phone and dial a special "identification pin" which identifies the owner. The smart phone then matches up with the notes ID and search within use...
