Method and System for Impromptu Meeting Scheduling Assistant

This article addresses the problem of high administrative overhead in scheduling and facilitating impromptu meetings in order to reduce the number of missed opportunities . Current solutions for scheduling impromptu meetings involve human intervention to crosscheck calendars, contacting interested parties, and agree upon the communication method. As the number of mobile and wearable devices increases , people are well connected but also overwhelmed with interruptions and tedious requests that can be more efficiently handled by programmable systems .

Prior art in scheduling technology mostly centers around meetings well in advance , not impromptu meetings.

The novel contribution is a scheduling assistant for impromptu meetings . This decentralized peer-to-peer management system pro-actively seeks the just-in-time availability of invitees and presents it among the interested parties as requested . Each connected device of the interested parties seeks the others' availability through an "inquire" and "reply" function pair without the full knowledge of other parties' calendar entries as shown in Figure 1. Once the availability is successfully identified and verified, the users have the option to initiate an impromptu meeting .
