Abstract

In our daily work, we often need to review or edit a series of similar documentation or contracts, which are just different in some ways, for example, contact information, meeting calendar, contracted amount, contracted period. Inevitably we always have to review or edit these difference of the contracts at sometime in the future. Then the writer must reopen the contracts and find the difference then modify them one by one. We would like to introduce a new methdo for the writer to review or edit the series of similar documentation or contracts to improve the efficiency. It just needs the writer to select any two contracts in the series for generating a virtual comparison template in the background. The virtual comparison template is not visible for the writer but records the compare result based with the two files selected.

In our daily work, we often need to review or edit a series of similar documentation or contracts, which are just different in some

ways, for example, contact information, meeting calendar, contracted amount, contracted period. Inevitably we always have to review or edit these difference of the contracts at sometime in the future . Then the writer must reopen the contracts and find the difference then modify them one by one because the difference is much more important than others in this series . The effort would be unimaginable if there are too many files need reviewing or editing. Also for a single contract, it could cost much more time for documentation application to open the complete contract. However, we only need one or two pages reviewed or edited in most cases. Currently we have to put such unnecessary effort into the situation above.

Our idea is a new option for the writer to review or edit the series of similar documentation or contracts to improve the efficiency . It

just needs the writer to select any two contracts in the series for generating a virtual comparison template in the background . The virtual comparison template is not visible for the writer but records the compare result based with the two files selected . We think all files in the series should have almost same feature so the compare with any two files in the series should return the same result as the template, which can mark where the difference is. What the writer should do next is that he only needs to make the mouse hover over any file of the series without reopen, then a floating editable window with preview result would be displayed. It is particularly worth mentioning is that the preview only returns the different pages based on the virtual compare template we have and the difference is highlighted specially. The writer can move the mouse to any file in this series then review or edit them quickly. So we notice the new method has a potential and inestimable value to accelerate our reviewing and writing efficiency in this case . Our claim point is that the writer can review or edit the file quickly by a floating editable preview window and only the different pages are displayed in the preview window based on the comparison template since it is important for the writer to know where the difference is and edit them quickly without any reopen. Our input is many similar files in a series. We give an available process as below:
