Abstract

Subject (Problem Statement): If a resource handles more than one Project and is out of office, the emails sent to this resource should manually forwaded to backup resources by sender. The scope of the backup resource missing these emails is high. Solution: In the subject of every email, the client name/client ID is the key that will identify the email and when the recipient is out of office, the email should be automatically redirected to the backup’s email id and this should be preconfigured in Out of Office screen where each Project name/Project ID should be aligned with a backup resource’s email id. This way the emails are redirected depending on the Project name/Project ID. This can be implemented for single resource-single project-single backup and single resource-multiple projects-multiple backups scenarios.

Current Problem:In present IT industry, email is the most important aspect to communicate with different people from different locations. Often there is a chance of people missing emails when they are backup for any projects that are dealt by another person. It is often seen that a resource works on more than one Project at a time and may have a planned leave or an emergency where in other resources from same team have to jump over the projects assigned to this person. Since he is the only point of contact, when an engineer/Project manager (or any resource working on that project) sends an email, the backup resource does not receive this email during his absence.

Proposed Solution: Proposing a solution in which there will be no scope of the backup resource missing the critical information in emails which can enable smooth delivery of projects even when a resource is Out of Office without any delay.
