Abstract

This disclosure discloses a system to analyze and consolidate the text based content (i.e. instant message chat history, email threads) into the user predefined/selected template for further references. During the daily text based communications. the system can dynamically adjust the document templates, apply triggers to extract information based on the templates, and generated the documantation. More, the documents can be modified by the users and in turn the result will be sent to server to train the system for a better performance in the future.

A new process and system for information consolidation of text based communications

Nowadays, text based communications (i.e. instant messaging (IM) tools and email threads) become more and more indispensable in our daily life, since they are real time, efficient and with a less cost. Especially at work, the cooperation in the form of text based communications such as in the IM tools (or emails) is frequently needed. Usually after the discussions in the IM tools (or emails), it is required to review and consolidate the communication contents into a well-organized document, like tech spec, defect summary, code review and etc. It could be very time-consuming to recheck the whole content and consolidate manually. A more efficient and smart process/system is desired.

Currently there are methods and devices that can search and extract certain contents from emails, or there are inventions that can filter the chats using topic and contextual attributes, and choose to show which part of the chat. Users are able to work with a dynamic set of context attributes and topics to limit the content view. All of these cannot satisfy the requirement to consolidate the textual content into a documentation.

The key point of our idea is to analyze and consolidate the text based content (i.e. IM chat history, email threads) into the user predefined/selected template for further references.

The main functionalities of our proposed system are:
1. Store and provide the dynamic adjusted document templates for information extraction.

2. Enable triggers to extract information from text based communications based on templates.

3. Various methods to extract the information and generate the documentation based on templates. Users can modify the provided documents to better meet their requirements. The modified results will in turn send back to server side for training the system to make a better analysis in the future.

The advantages of our idea are:
1> more efficient to make a documentation from the text based communication; 2> easy to find relevant docs for references;
3> easy to save and share the documents to individuals/groups.

Here is the main workflow:

The main modules with the typical scenario

Template Module:

It can manage all the templates, which can be defined by users, or selected out from template database.

For example, A and B discussed an issue/defect on IM tools. Then B wants to summarize the issue and make a document of it after their discussion. B can self-define a defect summary template, e.g. including any desired parts such as what is the problem, debugging scenarios, root cause and solution. B can also ask the system to recommend one/several templates from the database, based on the template type and relevant check;

Trigger Module:

Defined the triggers to extract information. For example user can choose the content to consolidate after the chat, or user can set real-time flag/identifies during the communicati...
