Often, during conference calls, employees spend time just waiting for a turn to speak

while attempting to manage a number of other tasks, or multi-tasking. This means that the participant is not fully attentive to the discussion, which often leads to unnecessarily

repeating information, prolonged meetings, and an overall drop in productivity. In addition, the progress and productivity of the meeting is inhibited if one or more of the necessary participants is not present. This inefficient use of time and resources directly leads to a large decrease in productivity. This productivity decrease then extends to many areas of business leading to poor resource allocation, failure to drive progress, and overall decreased employee morale.

The novel contribution is a system of tools and analytics to improve conference call and

web meeting efficiency. The key points of novelty are:

• Analytics of, and actions to, key words and phrases • Novel use of real time transcript with contextual information
• Use of timer and predictive analytics to keep meetings on schedule, provide dynamic meeting schedule, and accordingly take action(s)

• Improved meeting invitee identification to improve meeting results
• Integration of real time voice to text, analytics, and conference software

Embodiment 1: Key word or phrase analytics/actions


Users input key words or phrases of interest (e.g., company names, program names, user's name, other people's names, technologies, etc.). The system monitors the presentations (in advance of real time) and associated call (audio-real time) for key

words and phrases. The system takes action(s) when it identifies that the key words were spoken or appeared in the presentation. Action levels can vary depending on whether the word or phrase is in the presentation, spoken by a presenter, spoken by an attendee or asked as a question. Potential actions in response to key words include, but are not limited to:

• Starting audio • Increasing volume
• Moving screen changes to foreground

In response to topics of non-interest, the system might automatically mute or lower the volume of the call or reduce/suspend screen changes.

The system can also provide a visual on screen display with customizable notification of
