System to enable e-discovery of legal documents and enforce defensible disposition of legal documents after defined retention period

This article is an attempt to improvise the process of e-discovery and tighten the defensible disposition process

article is trying to address two main points of the current process

1. As of now when a legal matter is created followed by or in anticipation of any legal suite. Paralegal or Attorney has to follow up it with creating hold notices and interview process to identify the legal documents related to case and this process involves too many cycles of interviews to be answered by IT and putting hold on relevant legal documents based on the interaction with Attorney or ITLegal

2. Retention schedule is defined for certain period or event to happen. And once either of them is met the documents are then marked for disposition. Current scenario will not take account of changes happened from the date of retention imposed to till date and there is window for losing documents which are actually required to be retained due to change in law of land over the time

Solution to Problem 1:

Current article will add a system which will enable e-discovery of legal documents related to legal matter soon after it is created in the system.

article here is to have a pre-defined expanding legal dictionary which constitute the legal terminologies and words which are relevant to legal domain. We use this legal dictionary to determine the document of interest for the presented legal matter and initial the e-discovery and collection process soon after the legal matter is created in the system. This will improve the accuracy, efficiency of e-discovery for a legal matter and also reduce the IT dependency to validate the relevance of the collected documents. This will also improve the turn around time for a given legal matter and help attorney to get the evidence much efficiently

Solution to Problem 2:

Current article will add an additional cushion of validation of documents to be disposed after the retention period. Once the retention exit criteria is met, instead of marking these documents for disposal, now system will have an additional check based for any change in retention for document of interest. System will determine relevant documents of interest based on the appearance of words which are part of legal dictionary.

Legal dictionary : Set of keywords paired with relevance score pertaining to legal industry. Relevance score has to be determined by the Attorney and updated to the system.

Legal dictionary setup: Attorney will predefine sets of words with relevance score to start with. As and when a legal matter is created and attorney adds keywords to the matter, if found to be new, will be added to stag...
