Abstract

Compared with traditional information sharing method such as emails distribution and retrival, a separate database like teamroom, they are both not convinient and collection is tedious. Our invention provides a mechanism for every recipient to update the sharing part of the email or other social media system. The update once is confirmed by user, a update message will be send to all other to update their contents appearance of this part. So the appearance of the email contents depends on users' update, everyone can update the sharing part. Solution is as following. A plugin is added in Client side and an Object DB is added in Server side. This method can be used for email system as well as other social media system. Take email for example, The email sever contains two kinds of data, the Email Data and Object data. The email data only contains plain text and the Object Data contains objects, such as tables. When a team member received the email with object sent by his manager , he could directly update the object. After he finished updating, the plugin in client side send a dummy email message to indicate the server that a specific item of the object has been changed. After receive the message, the sever will send to all other receivers to notice a update. By using this method, both the receiver and the sender can see the latest update information of object in time. And this method can easily extended to other social media systems by using the message system of their own.

Nowadays we always need to coordinate work with shared information and individual information together. Our old mail system could just provide message notification by 'push' mode. If you want to collect info, like ask everyone input their personal info, self- ideas and other things. You could just send mail out directly and collect information who returned you mail from your mail database, which could be full of all kinds of different e-mails. You could easy it to a button triggered return mail, but still, you will get a lot of mails. Another choice for this information collection is to set a separate database like teamroom, and ask everyone to update in it. But everyone needs to connect to teamroom first and wait once someone starts to edit the teamroom until he/she saved the document. Our goal is to set an easier way for information collection and sharing. Once you send out this kind of mail, everyone could update their info directly in mail system, and the system could help maintain everyone's submitted updates and synchronized the changes to all the others. The requestor could get the input back once it's completed just from the send out mail. Our method could support real-time object and content sharing which will reduce the time to check update one by one and get things square. It could also prevent plenty of mail discussion to reference ideas from each other. In brief, it could made collection and sharing much more convenient by just e-mail.

To facilitate the management process, a team always has its own team room. Team members can put their information there which could be easily shared among team members. Sometime, manager may need to collect some information from his team members. Usually what he/she does is to create a table in team room, send every team member an email with a link contained. When team member need to update the table, he/she need to click the link to get into the team room, update his own information and save. It could solve most problems, however it is a little troublesome if you have to open the team room and then make the update.

Our solution is like this. The email sever contains two kinds of data, the Email Data which only contains plain text and the Object Data which contains objects, such as tables. When the team member received the email sent by his manager, he could directly update this table. After he finished updating and clicked OK, the client send one message to indicate the server that a specific item of the table has been changed. After receiving the message, the sever will send to all other clients a fake email which the receiver will not notice he received a new email. The fake email (new email with the same theme, same text information, updated object information) just replaces the old email with the information of the object updated.
