Abstract

The process of discovering private documents is very inefficient e.g. I may be looking for information on a particular topic, I reach out to my network to find an expert, they may have some existing documentation I need and will grant me the link. This type of process is a very unreliable way of getting access to documentation that is currently marked as private.

When a document is created by default it is private and the owner will have to change the rights to the document (Make public or shared). They are not made aware that others might find this document useful. The document rights are never modified again unless the owner is told that someone is writing a document that is related to it and they give access to that person or group.

The weakness here is that there is no system checking if private documents are being found from a search query, only public matching content is returned. Some document owners would want to collaborate with the other users on the related material.

Examples

    1) User A works for a test team and creates a document explaining how to export a database on a particular operating system (OSa) to a new server. The Document is then shared with User A's team community. Several weeks pass and User B has a customer asking how to move the database on OSa. User B has never done this before and searches Connections for any related material. User B starts

writing a document and the system finds matching public material but the private

content from User A is never shared with User B

    2) The owner of that document may belong to another community where public content is shared. A user from one of the public communities can create a similar document to what is already available to the owner. The user can search for related public material but the private hidden content will never be available. The owner of the private document is never made aware that other users may find this content useful.
